About the Role:

We are seeking a highly organised and detail-oriented Wholesale Coordinator to support the operational success of our wholesale function. Reporting to the Global Wholesale Manager, this role plays a critical part in ensuring our wholesale partners receive a seamless, high-quality experience through accurate order management, dispatch coordination, invoicing, reporting and account support.

You will work closely with internal teams, warehouse and distribution partners, international agencies and wholesale accounts to ensure systems, data and processes are maintained with precision. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in delivering excellence in every detail.

About You:

You bring previous experience in wholesale operations, sales support, supply chain or a similar coordination role. You have a natural eye for detail, a proactive mindset and strong organisational skills that allow you to manage multiple priorities with accuracy and confidence.

You enjoy building relationships and communicating clearly across teams, ensuring stakeholders feel supported and informed. You are solutions-focused, adaptable and eager to learn — always looking for ways to improve processes and contribute to a high-performing team.

Experience with ERP systems and EDI is highly regarded, particularly if you have supported wholesale or major retail accounts.

Responsibilities include but are not limited to:

· Provide end-to-end operational support for wholesale accounts, including RA processing, short shipments, amended orders and delivery support

· Act as key point of contact for wholesale account queries relating to orders, inventory and dispatch

· Manage EDI processes for major wholesale accounts and resolve order flow discrepancies

· Coordinate wholesale dispatch reporting across distribution centres and support weekly dispatch meetings

· Monitor delivery performance and proactively follow up on delays or exceptions

· Manage commission reporting and support wholesale performance reporting

· Process monthly sales order invoicing and support wholesale accounts receivable management

· Maintain accurate inventory and order data across systems

· Live and embody KIVARI’s values: Community First, Quality Always, Embrace the Journey and Always Evolving

Qualifications:

· Previous experience in wholesale operations, sales support, supply chain or similar

· Experience working with ERP systems (EDI experience desirable)

· Strong attention to detail and high level of accuracy

· Excellent communication and stakeholder management skills

· Strong time management and organisational abilities

· Relevant qualifications in business, supply chain, logistics or related field (highly regarded)

What We Offer:

· A creative, collaborative environment: Join a team that values innovation and teamwork, where your contributions will help shape the future of our brand.

· Growth opportunities: KIVARI is a rapidly growing brand, and we are committed to helping you develop your skills and progress in your career.

· Work-life balance: Regular hours working from our Freshwater office, close to the beach.

· Sustainability commitment: Play a role in shaping designs that reflect our commitment to sustainability, creating a positive impact on both our community and the environment.

· Competitive salary and benefits package including a generous staff discount & generous clothing allowance.
